The short answer

  • Online fixed-price companies have set the customer's price expectation before you arrive.
  • Boiler replacement is usually a distress purchase, the old one has failed and they want it solved today.
  • Speed of response wins more boiler jobs than price does.
  • Service contracts are the most valuable thing in this trade and the most neglected.
  • Sizing and system cleaning are where you can demonstrate competence a fixed-price install cannot.

Why boiler quotes get turned down

Because the customer already has a number.

Fixed-price online installers publish figures and quote in minutes without visiting. That has become the reference point, and your quote is measured against it whether or not it is comparable.

Often it is not, the online price assumes a straightforward swap, and your quote reflects the flue route, the gas supply pipe, or the system condition. But you have to say so, because otherwise you look expensive rather than accurate.

The second factor is urgency. Most boiler replacements happen because the old one died. A customer with no heating will take the engineer who can come Thursday over one who is cheaper and free in a fortnight.

What the customer is actually weighing

How fast, how much, and whether the warranty will actually be valid.

They increasingly know the warranty depends on installation and registration being done properly, and that is where you beat a volume installer.

Where the work comes from

Your own service customers. Someone whose boiler you have serviced for five years will not shop around when it fails. This is the single strongest source in the trade and it depends entirely on having built the base.

Landlords and agents, who need annual gas safety checks and replace boilers on a cycle.

Plumbers and builders who do not hold gas tickets.

Search, from customers whose boiler has just failed. Being findable and responsive matters more than being cheapest.

What separates you from the quote below yours

Explain the sizing. A calculation based on the property, not a glance at the old boiler. Oversizing is common and costs the customer for a decade, say so, and you are advising rather than selling.

Include the flush and the filter, and explain that a warranty claim can be declined without them. Customers do not know this and it reframes a cheaper quote instantly.

Commit to the paperwork. Benchmark completed, warranty registered, building control notified, and say they will have it before the final payment.

Offer the service contract at handover, not later. It is the moment they are most receptive and it is recurring revenue.

Making the money conversation easy

The boiler is a large single item so a kick-off of 15, 20% is reasonable. Then tie the final payment to the certificate and warranty registration, a condition you should welcome, because it is exactly what separates you from an installer who leaves the paperwork undone.

Common questions

Will this work for my kind of job?
It suits planned work with clear stages best. Very short reactive jobs move too fast for staged payments.
Does the customer have to agree?
Yes. They approve each stage before it is released, which is the part that reassures them.
Do I still take a deposit?
Yes, as a capped kick-off with a stated reason for what it covers.
How does it help me win work?
It removes the objection you are currently losing quotes to without ever being told.
